Dear TST Photography,
I am requesting a quote for your photography services.
I require some portraits of eight of my staff members so that the company can use them for printing in various documents including the staff magazine, company brochures, letterheads and business cards. I would like them on a DVD please.
I would like one casual portrait and one formal portrait of the eight staff members and also one formal group shot.
It would be nice to have the portraits taken in our offices here in Symonston but I’m not sure where exactly would be the best place within the building so you may like to come and have a look around yourself before the shoot.
I would like the photos provided within the next month so that they can be included in the upcoming staff magazine.

Dear Jerry,
We understand that you have recently requested a quote for our photographic services. TST Photography would be delighted to assist you in providing corporate photographic portraits for ACTEW at your offices in Symonston. The attached quote, which totals $2,569.65 (including GST), is the cost for TST Photography to provide you with a DVD containing high-resolution photographs of eight of your staff members in jpeg file format. This includes one formal portrait and one casual portrait of each of the eight staff members and also a formal group photo.
Upon accepting this quote, TST requires the non-refundable booking fee of $500, which can be deducted from the total cost at the time of the full payment.

CONTRACT
AGREEMENT Overview: This Agreement expresses the full and complete agreement between the named client and TST PHOTOGRAPHY. It supersedes all prior agreements. The only way to add or change this agreement is to do so in writing, signed by all parties.
COOPERATION: The CLIENT agrees that good faith cooperation and communication between them is important in obtaining a good result. TST PHOTOGRAPHY is not responsible if key individuals fail to appear or cooperate during photography, or for missed images due to details not revealed to TST PHOTOGRAPHY or beyond the photographers’ control.
IMAGES and COPYRIGHTS: Photographs/images produced by TST PHOTOGRAPHY are protected by Federal Copyright Law (all rights reserved). Upon final payment by CLIENT, CLIENT is granted limited license to use and display resulting images for the agreed use. The CLIENT must obtain written permission from, and compensate TST PHOTOGRAPHY prior to the CLIENT or its associates publishing or selling the photographs in forms other than that agreed upon.
MODEL RELEASE. The CLIENT hereby grants to TST PHOTOGRAPHY the irrevocable and unrestricted right to use and publish the photographs for editorial, trade and advertising purposes in any manner or medium.
RETAINER & PAYMENT SCHEDULE: A $500 fee is due at the signing of this agreement. This is a NON-REFUNDABLE RETAINER. Should CLIENT cancel or otherwise breach this Agreement, the NON-REFUNDABLE RETAINER shall be liquidated for damages to TST PHOTOGRAPHY. The CLIENT shall also be responsible for payment of any materials/charges incurred up to time of cancellation. Otherwise, the retainer shall be applied towards the Final Total, with the remainder of charges payable in full, four weeks prior to the date of the photo shoot.
LIMIT OF LIABILITY: TST PHOTOGRAPHY takes the utmost care with respect to exposure, storage, and processing the photographs/images, but cannot and does not, guarantee that photographs/images from the photo shoot will not be lost, stolen, or destroyed for reasons within or beyond TST PHOTOGRAPHY control. CLIENT agrees that TST PHOTOGRAPHY’s full and complete responsibility and liability is limited to the return of all payments received for the photo shoot.
COMPLETION SCHEDULE: Creation of the CD/DVD containing the required images is expected within 4 weeks after the photo shoot. Printed items may require additional time.
MODEL RELEASE FORM
For valuable consideration which I have received, I grant TST Photography the absolute and unrestricted right and permission to use or alter any photographic images of me, or in which I may be included, in any medium, throughout the world, without any restrictions whatsoever as to the nature of the use or publication or as to the copy of any printed matter accompanying the photographs. I understand that the images may be altered and I waive the right to approve of any finished product. I understand that I do not own the copyright of the photograph and I hereby release TST Photography from all claims and liability relating to the use of the said photographs. SUMMARY
To conclude, as a group we found this assignment very practical and relevant to further our understanding of a professional standard brief. We approached this task firstly by gathering the required information in terms of cost figures in order to create an accurate quote.
Our company name is developed from the first letters of our first names to create a simple yet appropriate business name.
The AIPP website was our greatest source of information. This is because it is relevant to an Australian business and we know the information will be reliable and accurate. The majority of the costs found in our quote have been taken from the AIPP website such as expenses, wages and hourly rates used for the TST business as well image processing and location costs.
The lighting costs were located from a website for a lighting hire and sales business called Studio Works Corp and can be found in our bibliography. This website had detailed information on the costs to buy as well as hire a variety of different flash lighting equipment and allowed us to obtain an accurate equipment costs for our quote.
We also drafted an overview of the total expenses a business may encounter over a 12 month period.
Although this was not a requirement it did allow help us to understand better the costs to run a business and therefore how to charge a client appropriately.
We sourced a quote for Public Liability Insurance from Liability Brokers Pty Ltd which we used to make our own quote.
The quote was developed from recent experience in our location class at CIT. In this class we have been learning about corporate shoots and applied this learned knowledge to this assignment. It is a very common request for businesses to require corporate photographs of their staff members for business cards, newsletters and brochures to promote the company. This is the basis for what the client will require from our business.
In the emails between the client and business the requirements were discussed and then the quote was written accordingly. In the email we quoted the total costs and the client can also find a detailed breakdown of costs in the quote.
The model release forms we found from the RMIT website which is again another reliable source with knowledge of the industry. The basis for the contract was again found from the AIPP website. We have aimed to develop a concise contract that is worded in understandable terms for the client.
Our aim was to develop a detailed brief that was clear and easily understood.
